Overview

Waynesville Computer Services (“we,” “us”) is a one-person computer repair business located in Waynesville, North Carolina. This policy explains what information we collect when you use our website or book a drop-off, and how we use and protect it.

Information We Collect

When you book a drop-off or contact us, we collect:

  • Name, email address, and phone number
  • Device type and a description of the issue
  • Preferred drop-off date and time
  • For electronics drop-offs, a description of what you’re bringing

We may also receive standard technical details — such as device make, model, and serial number — when you bring a device in for repair.

If you call, message, chat with, or email us, or sign up for our newsletter, we may note your name, phone number or email address and what you asked about, so we can get back to you.

How We Use Your Information

  • Scheduling and confirming your drop-off appointment
  • Communicating about your diagnosis, repair, and pickup
  • Sending confirmation, reminder, and follow-up emails
  • Following up on questions you asked us by phone, message, chat, or email

How We Share Information

We do not sell or rent your personal information. We share details only as needed to provide our service: with our scheduling provider (Cal.com), which handles drop-off bookings, checks our Google Calendar for open times, and sends your confirmation; with our live chat provider (Tidio) when you use the chat; with our account and database provider (Supabase), which stores customer accounts and booking details; with our email delivery provider (Resend), which sends sign-in and repair status emails; with our email delivery provider (EmailJS) if you use the backup request form; with Meta (Facebook and Instagram) for ad measurement, as described below; or when required by law.

Live Chat

The chat on this site is provided by Tidio. Questions may first be answered by Tidio’s AI assistant, using information from this website, and can be handed to Benjamin. If you chat or leave a message, Tidio stores what you type and any name, email, or phone number you give, along with basic technical details such as the page you were on. We use it only to answer your question and follow up with you. Please don’t share passwords, card numbers, or other sensitive information in the chat.

Customer Accounts

Creating an account is optional; you can always book without one. If you create one, our account and database provider, Supabase (supabase.com), stores your email address, the name and phone number you add, your newsletter choice, your light or dark display choice, when you agreed to our Terms and this policy, and your login: either a password (stored scrambled, never in plain text) or your Google or Microsoft sign-in. If you sign in with Google or Microsoft, they share your name and email address with us. Our sign-in page loads Google’s sign-in button from Google, which may offer to sign you in with the Google account already open in your browser; nothing is shared with us unless you choose to continue. If you turn on 2-step login, Supabase also stores the key your authenticator app uses to make its codes.

When you book, Cal.com sends us your booking details (name, email, phone, device, notes, and appointment time). We store them in Supabase together with your repair status, any notes from Benjamin, and any invoice link, so you can track your repair in your account. Bookings are matched to your account by email address, so bookings made with that email before you signed up appear too. Only you (after verifying your email) and Benjamin can see them.

Each repair also gets a ticket number (like WCS-1001), and your repair status emails include a private tracking link. On our Track Your Repair page, that link, or the ticket number together with the email you booked with, shows the repair’s status, notes from Benjamin and its history, but never your name, email or phone number. Please don’t share the link. To stop people guessing, the page limits wrong tries; for that it keeps a scrambled code made from your internet (IP) address for one day, never the address itself.

Sign-in links, account confirmations, password resets, and repair status emails are sent from [email protected] through our email delivery provider, Resend (resend.com). See Supabase’s privacy policy and Resend’s privacy policy.

Custom Dashboard

If we set up a Custom Dashboard for you, Supabase also stores what you put in it or connect to it: your entries (dates, amounts, categories, who they were with, notes), the names of your accounts and cards with at most the last four digits, your subscriptions, your display settings, and a short activity log (for example “exported” or “bank connected”, never the entries themselves). Rules in the database mean a login can only read its own dashboard. Benjamin can see your settings, logins and whether things are connected, but not your entries. Never card numbers, bank account numbers, Social Security numbers or tax IDs.

Receipts by email. Your dashboard gets a private forwarding address on our support mailbox. Only what you send to that address is read: a small script in our mailbox passes each such email to Anthropic’s Claude, an AI service, to pull out the store, amount and date (and, for a subscription or bill email, how often it renews, the next charge date or when the bill is due), and the email’s text is kept in your dashboard as the receipt. Anthropic processes it under its commercial terms and does not use it to train its models. When Gmail asks to confirm forwarding to your address, that email isn’t sent to Claude: we keep its confirmation code, link and the Gmail address that asked, so your dashboard can show them to you. We never read or connect to your own inbox.

Bank sync (optional). If you choose it, you sign in to your bank at SimpleFIN (simplefin.org), which gives us a read-only key that we store encrypted in Supabase. We use it only to fetch your account names, balances and transactions. We never see your bank login. Disconnecting removes the key; your imported entries stay until you delete them.

Calendar (optional). If you connect a calendar, you paste its private address (the iCal or ICS link Google, Outlook or iCloud gives you). We store that address encrypted in Supabase and read it about once an hour to show your events, from 30 days back to a year ahead: titles, times, places and notes. We never change your calendar. Removing it deletes the address and those events from your dashboard.

Other modules you may have on. Bills, budgets and goals, invoices, leads, bookings, jobs, reviews and tax set-asides are stored the same way as your entries, under the same rules. Receipt photos you take are kept in a private folder only your logins can open, and each one is passed to Claude once to read the store, amount and date. A forwarded review notification is read the same way as a receipt email and shows on your Reviews tab (the reviewer’s first name and what they wrote, never their contact details). Bill reminders and the Monday recap are emails to the logins on your dashboard; each can be switched off on the dashboard. A second login you invite (Team logins) sees the same dashboard; only an owner can delete it, change logins or connections.

Online plans. If you start a dashboard online, Square handles the payment and keeps your card; we never see the card number. We keep your plan (monthly or yearly), Square’s customer and subscription IDs, which invoices were paid or refunded, and your paid-through date, to know whether your dashboard is active, and we email you once when it’s ready. Square processes the payment under its own privacy policy.

You can download everything and delete your whole dashboard at any time from its Settings. Deleting removes your entries, settings, connections, receipt photos and stored keys. If an online plan ends, nothing is deleted on its own: you can still download your data for 30 days, and after that we keep it until you or we delete it.

Email Newsletter

If you sign up for our “Waynesville Tech Tips” newsletter, your first name and email address are handled by our email provider, Kit (kit.com), which stores your signup and sends the newsletter. If you tick the newsletter box when creating an account, we add your email address and first name to the same list. You can unsubscribe anytime using the link in any email. See Kit’s privacy policy.

Data Retention

When you book, your booking details are stored by our scheduling provider (Cal.com), added to our calendar, and saved in our database (Supabase) so we can track your repair and show it in your account if you sign in. This happens whether or not you have an account. We keep them as long as needed to provide service, honor your warranty and answer questions about your repair. Ask us anytime and we’ll delete your booking records, with or without an account.

If you create an account, your account details are kept while your account exists. You can delete your account yourself in the Security section of your account page, or ask us to. That removes your login and the name and phone number you saved; your booking records are kept as described above, and we’ll delete those too if you ask.

We keep a private customer list in our database (Supabase) with the contact details from bookings, accounts, newsletter sign-ups, and calls or messages, plus our own notes, so we can follow up and remember past repairs. Only we can see it. We never sell it, and being on it doesn’t sign you up for our newsletter. Ask us anytime and we’ll delete your entry.

When you pay us, we keep a private record of the payment (your name, the date, the amount, how you paid and what it was for) for our business and tax records. Tax rules require us to keep these for several years, so they stay even if your other records are deleted. We never store card or bank account numbers.

Cookies & Analytics

This site uses the Google Ads tag and the Meta Pixel (Facebook and Instagram) to measure ad performance. They may set cookies in your browser and send Google or Meta information such as the pages you visit. Cloudflare Web Analytics counts page visits for us without cookies and without following you to other sites. The booking calendar is provided by Cal.com, and the live chat by Tidio; each may set its own cookies when it loads. Links on the Recommended Parts page go to Amazon: if you follow one, Amazon's own cookies and privacy notice apply there. You can block or clear cookies in your browser settings at any time.

If you sign in, your browser stores your login session and your saved booking info so you stay signed in and the booking form can be filled in for you. Logging out removes them.

Meta Pixel & Conversions API

We use the Meta Pixel and Meta’s Conversions API (set up through Meta’s gateway) to measure how people use this site and to show and measure our ads on Facebook and Instagram. They record things like:

  • Site visits and the pages you view
  • Bookings
  • Clicks on our phone, email, chat, and WhatsApp buttons
  • Clicks on the prepay buttons

The Meta Pixel uses cookies and similar technology to do this.

We have Meta’s Advanced Matching turned on. When you submit the booking form, your name, email address, and phone number may be hashed (scrambled) in your browser before they’re sent to Meta, so Meta can match your visit to a Meta account. We don’t sell your personal information.

Messaging on WhatsApp, Messenger & Instagram

If you message us on WhatsApp, Facebook Messenger, or Instagram, those messages are handled by Meta under Meta’s own privacy policy.

How to Opt Out

Devices You Drop Off

We only access what’s needed to diagnose and repair your device. If you drop off electronics you no longer want, every drive with personal data on it is wiped before the device is refurbished, resold, or recycled. Please back up anything you want to keep first.

Your Rights

You may request access to, correction of, or deletion of your personal information by emailing us at any time.
